Who this covers

Our customers are pet businesses. A business uses SmoochiPet to run its own bookings, clients and pets. For the information a business puts into the platform about its own clients, the business decides what is collected and why, and we process it on the business's behalf to provide the service. For information about the business's own staff and account, and about visitors to this website, we decide what is collected.

What we collect

• Account details: names, email addresses and sign-in information of the business's staff and owners.
• Business details: the shop's name, services, prices, staff roster and opening hours.
• Information a business enters about its clients and their pets: contact details, appointment history, notes, vaccine records and photos.
• Messages sent through the platform, such as reminders and replies, and the content of messages the business receives through channels it connects.
• Information from connected social accounts: when a business connects a Facebook Page, an Instagram professional account or a similar account, we store the access tokens and the account and Page identifiers that connection needs, and handle the messages and posts the business sends or receives through it.
• Payment records: checkout runs on the business's own Stripe or Square account; we keep a record of the sale.
• Website visit data: standard technical information such as pages requested, browser type and IP address.

How we use it

• To provide the platform: booking, checkout, reminders, reports, social posting and messaging.
• To secure the service, prevent abuse, and fix faults.
• To contact the business about its account, changes to the service and support requests.
• To improve the product, using aggregated or de-identified information where practical.

We do not sell personal information.

AI features

Some features use AI, for example to draft replies or summarise a business's own data. A business can also connect the AI assistant it already uses. Information is sent to an AI provider only to perform a feature the business has switched on or connected.

Who we share it with

• The business whose account the information belongs to.
• Service providers that help us run the platform, such as hosting, email and messaging, and payment processors.
• Social platforms such as Meta (Facebook, Instagram, Messenger, Threads), where a business has connected an account and uses the platform to post or reply there.
• Authorities, where the law requires it.

How long we keep it

We keep information while the business's account is active and for as long as needed to provide the service and meet legal obligations. Specific retention periods are not yet fixed; we will state them here when they are. When an account is closed, or on a valid request, we delete or de-identify the information we hold, except what we must keep by law.

Deleting your information

If you connected a Facebook or Instagram account and remove SmoochiPet in your Facebook or Instagram settings, the platform receives a deauthorize notice and a data deletion request from Meta, and processes the request. The platform returns a confirmation code you can use to check its status. You can also ask us directly (see Contact).

If you are a client of a pet business and want your information corrected or deleted, ask the business first, because it controls that information. If you cannot reach it, contact us and we will help.

Security

We use reasonable technical and organisational measures to protect information. No system is perfectly secure, and we cannot guarantee absolute security.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, or to object to certain uses. Contact us to make a request; we may need to verify who you are first.

Children

The service is for businesses and is not directed to children under 13. We do not knowingly collect their information.

Changes

We may update this policy. The date at the top shows when it last changed.
